Privacy Policy

This Privacy Policy explains how Venue Mentor, LLC, a North Carolina limited liability company doing business as Optics (“Optics,” “we,” “us,” or “our”), collects, uses, shares, and protects personal information when you visit our website at optics.bar (the “Site”) or use the Optics application and related services (together with the Site, the “Service”).

This Policy covers personal information about individuals — for example, you as a website visitor, a business owner signing up for Optics, or a staff member your business adds as a user. It does not cover the business content your company uploads into the Service to run its bar program — inventory counts, recipes, pricing, sales history, and similar business records (“Customer Data”). Ownership and handling of Customer Data is addressed in our Terms of Service at optics.bar/terms not this Policy, except to the extent Customer Data itself contains personal information about an individual (for example, a staff member's name in a shift note).

By using the Service, you agree to the collection and use of information as described in this Policy. If you do not agree, please do not use the Service.

1. Personal Information We Collect

1.1 Information you provide to us

• Account & registration information: name, business name, email address, phone number, mailing address, job title, and password when you or your business creates an Optics account.

• Billing information: billing name and address, and payment details, which are collected and stored directly by our payment processor (see Section 1.3) rather than by Optics.

• Communications: information you provide when you contact us for support, fill out a contact or demo-request form, respond to a survey, or otherwise correspond with us.

• Staff/user accounts: name and email address for any additional users your business invites to your Optics account.

1.2 Information collected automatically

When you visit the Site or use the Service, we and our service providers automatically collect certain information about your device and usage, including:

• Device and browser type, operating system, and general location (such as city or region) inferred from your IP address;

• Pages or screens viewed, features used, links clicked, time spent, and referring/exit pages;

• Log data such as access times, error reports, and crash data.

We collect this information using cookies and similar tracking technologies, described in Section 2.

1.3 Information from third parties

• Payment processor: we use a third-party payment processor (such as Stripe) to handle subscription billing. The processor collects your payment card or bank details directly and shares limited information with us, such as confirmation of payment, the last four digits of a card, and billing status — Optics does not receive or store full card numbers.

• Integrations you connect: if you connect a third-party service to Optics (for example, a point-of-sale system, accounting software, or vendor ordering platform), we receive the information that integration is configured to share, as authorized by you.

2. Cookies & Tracking Technologies

We use cookies, web beacons, and similar technologies to operate the Site, remember your preferences, and understand how the Site is used.

• Essential cookies: required for the Site and Service to function, such as keeping you logged in.

• Analytics cookies: we use Google Analytics to understand website traffic and usage patterns. Google Analytics collects information such as pages viewed, time on page, and general location. You can learn more and opt out at Google's Analytics opt-out page, or by adjusting your browser or device settings. 

Most browsers let you block or delete cookies through their settings; doing so may affect how parts of the Site and Service function. We do not currently respond to browser “Do Not Track” signals, except as described in Section 6 (California Privacy Rights) regarding the Global Privacy Control.

3. How We Use Personal Information

• To provide, operate, maintain, and support the Service, including your account and billing;

• To communicate with you about your account, transactions, and support requests;

• To send product updates, tips, and marketing communications, where permitted, and which you can opt out of at any time;

• To monitor, analyze, and improve the Site and Service, including understanding usage trends;

• To detect, investigate, and prevent fraud, abuse, and security incidents;

• To comply with legal obligations and enforce our Terms of Service.

4. How We Share Personal Information

We do not sell personal information for money. We share personal information only as follows:

• Service providers: vendors who host our infrastructure, process payments (e.g., Stripe), provide analytics (e.g., Google Analytics), send email, or provide customer support, under contracts that limit their use of the information to providing services to us.

• Business transfers: in connection with a merger, financing, acquisition, or sale of assets, personal information may be transferred as part of that transaction.

• Legal & safety: where required by law, subpoena, or legal process, or where we believe disclosure is necessary to protect the rights, property, or safety of Optics, our users, or others.

• With your direction: when you direct us to share information, such as by connecting a third-party integration.

• Professional advisors: with our lawyers, accountants, auditors, and insurers, as needed.

5. Data Retention

We retain personal information for as long as needed to provide the Service, comply with our legal obligations, resolve disputes, and enforce our agreements. When you close your Optics account, we retain account and billing records for a limited period consistent with our data export and deletion process described in the Terms of Service, after which the information is deleted or de-identified, except where longer retention is required by law (for example, tax or accounting records).

6. Your Privacy Rights & Choices

• Access & correction: you can review and update your account information directly in the Service, or by contacting us at team@optics.bar

• Marketing opt-out: you can unsubscribe from marketing emails using the unsubscribe link in any such email, or by contacting us.

• Cookie controls: you can block or delete cookies through your browser settings, and opt out of Google Analytics as described in Section 2.

• Account deletion: you may request deletion of your account and associated personal information by contacting team@optics.bar, subject to the retention exceptions described in Section 5.

7. California Privacy Rights (CCPA/CPRA)

This section applies to California residents and supplements the rest of this Policy. Under the California Consumer Privacy Act, as amended (“CCPA”), California residents have the right to:

• Know/access the categories and specific pieces of personal information we have collected about them;

• Delete personal information we have collected, subject to certain exceptions;

• Correct inaccurate personal information;

• Opt out of the “sale” or “sharing” of personal information — Optics does not sell personal information, and does not share it for cross-context behavioral advertising, so no opt-out action is currently needed, but we will honor a Global Privacy Control signal as an opt-out preference signal where applicable;

• Not receive discriminatory treatment for exercising any of these rights.

8. Other U.S. State Privacy Rights

Depending on where you live, state privacy laws (for example, in Virginia, Colorado, Connecticut, and other states with comprehensive privacy laws) may give you rights similar to those described in Section 7, including the right to access, correct, delete, and obtain a portable copy of your personal information, and to opt out of targeted advertising or profiling, where applicable. To exercise these rights, contact us at team@optics.bar. We will respond in accordance with applicable law, and you may have the right to appeal a denied request.

9. Children's Privacy

The Service is intended for business use and is not directed to children. We do not knowingly collect personal information from children under 13 (or the relevant minimum age in your jurisdiction). If we learn we have collected personal information from a child without appropriate consent, we will delete it.

10. Data Security

We use administrative, technical, and physical safeguards designed to protect personal information, including encryption in transit and access controls. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

11. Where We Process Information

We are based in the United States, and personal information we collect is processed and stored in the United States. If you access the Service from outside the United States, you understand that your information will be transferred to, stored, and processed in the United States, which may have different data protection laws than your country of residence.

12. Third-Party Links & Integrations

The Site and Service may contain links to, or integrations with, third-party websites and services (such as payment, accounting, or point-of-sale platforms). This Policy does not apply to those third parties, and we encourage you to review their privacy policies before providing them with information.

13. Changes to This Policy

We may update this Policy from time to time. If we make material changes, we will provide notice by posting the updated Policy on the Site with a new “Last Updated” date, and, where required by law, by additional notice such as email. Your continued use of the Service after a change takes effect constitutes acceptance of the updated Policy.
